Wholesale supply explained

A dependable wholesale supplier can transform a business's margins and reliability. Here is how wholesale relationships work and what to confirm before your first order.

What wholesale actually means

Wholesale suppliers sell goods in bulk, usually at lower per-unit prices than retail, often with minimum order quantities. Some hold stock and deliver from their own warehouse; others work on order with lead times of days or weeks. Knowing which model a supplier runs determines how you plan your own stock levels.

What to confirm before your first order

Ask for the price list and whether prices are fixed or move with exchange rates and transport costs. Confirm the minimum order quantity, payment terms — many wholesalers ask for payment upfront from new customers — and delivery costs and times to your area. Agree what happens if goods arrive damaged or short, and whether returns are accepted.

For anything you will resell, confirm that the goods are genuine and that you understand any manufacturer warranty position.

Vetting a new supplier

Start with a smaller trial order even if it costs slightly more per unit — it tests the supplier’s reliability, packaging and accuracy cheaply. Check that the business is registered and traceable, ask for references from other customers in your industry, and compare quotes from more than one supplier before committing to regular volumes.

Building the relationship

Suppliers reward predictable, prompt customers with better prices, priority during shortages and flexibility in emergencies. Communicate your regular volumes, pay on the agreed terms, and give notice when your needs change. A good supplier relationship is one of the strongest competitive advantages a small business can build.
